Policies and Procedures governing our services:
Credit
Any customer desiring credit with South Side Lock & Key must meet the following requirements:
- Customer must complete credit application/agreement, providing all needed business information, contact information, and bank and business references.
- Customer must acknowledge receipt of South Side policy statements.
- Customer must be able to pay balance on any given invoice within the specified thirty day period and agrees to pay any specified penalties for late payment.
If customer will require extended dating based on his particular accounts payable structure, such dating should be requested at time of application and will be considered only for the most credit-worthy applicants.
After approval, customer will be granted an initial credit line of $250. Credit limits will then be increased incrementally to $500, $750, $1000, $2000 etc. at management’s discretion--taking into consideration customer need, average invoice, payment history, etc.--until a maximum credit line of $5000 is reached.
South Side Lock & Key reserves the right to discontinue extension of credit after three late payments within a given twelve month period or after failure to acknowledge two or more notifications of any past due invoice. First notice will be given by phone within first week after due date to be followed by written notice after two weeks.
Any invoice payment postmarked more than one week beyond the specified credit period will be assessed a charge equal to 10% of the total amt. due on the late invoices.
Do Not Copy Keys
South Side Lock & Key will cut no key presented to our technicians which has been stamped to read “Do Not Copy” or “Do Not Duplicate” unless a South Side technician is responsible for having designated said key as such or unless the key is being presented by a person pre-assigned to be the official contact for the particular organization desiring the copy. Each commercial customer having an ongoing business relationship with South Side—such as those given thirty day dating—shall designate one or, at most, two “key contact person(s)” through whom all keys shall be routed. Those names shall be kept on record with South Side and shall only be changed or deleted at the request of an “authority contact” established by the customer and also kept on record. This “authority contact” may or may not serve as a “key contact” depending on the wishes of the customer.
Special Orders
Any item—complete lockset, device, part, tool, machine or safe—which is not part of the general inventory kept by South Side Lock & Key will be considered a “Special Order” when requested for purchase/installation. At the time of the order, South Side will require a 20% down payment, either to be invoiced or secured via credit card, with the balance to be paid upon receipt/installation. Purchaser will be notified by phone of arrival of merchandise at which time they will have 10 business days to claim the product by arranging for delivery or installation. After those 10 days a 1% charge will be assessed per day until installation. After 30 calendar days the order will be considered cancelled. Cancellation at any time after the order has been placed will forfeit the deposit. Circumstances under which order/installation could be cancelled and deposit returned include the following:
- Requested product fails to meet customer’s expectations due to misrepresentation by a South Side technician.
- Requested product fails to suit the requirements of the customer/site due to technician error in ordering.
At customer’s request, South Side technicians will retain any and all master keys for a given property for use in future re-keying and duplication. Said keys will be tagged with a number or letter only and kept in a secured cabinet in the service vehicle. A cross-reference chart for identification will be kept separate from the cabinet rendering the keys useless to anyone if they should happen to be stolen from the van or misplaced by a technician. Unless a South Side technician has, himself, created the keys as part of new or expansion system, it shall be the responsibility of the customer to provide South Side technicians with clean, working copies of existing master keys and communicate clearly as to how they are to be identified and utilized. Customer should also be aware that, once authorized and directed to use a given master key for any or all re-key requests at a given property or properties, South Side will not warrant the utility of any or all existing copies of said master key held by employees unless our technician has produced them.
After Hours/Emergency Service
Any request made for after-hours or emergency service is made with the express understanding of the following requirements:
- All after-hours/emergency service carries a higher trip charge than “regular” service calls, usually not to exceed $75.
- All after-hours/emergency requests made by credit customers and cancelled after the technician is “in transit” shall be invoiced for the premium trip charge.
- All after-hours/emergency requests made by “cash customers” will require that a valid credit card number be given as security against no-shows, cancellation, or “job-robbing” by another lock service (premium charge to be assessed to card). If no card number can be given, no service will be given. Actual payment once the service has been rendered must be in cash for the exact amount charged. Technicians do not carry or make change.
Service Call Integrity
South Side Lock & Key has made customer service, trust, efficiency, and reliability the pillars of its existence and success. It is with keeping with all of those goals that we have established a “No Add-On” policy regarding scheduled service calls. At the time of scheduling, customers should make very clear the scope of service required--number of locks to be re-keyed, devices to be installed or serviced and, if applicable, an estimated number of keys to be cut. When arriving to do a job, South Side technicians will be fully prepared to perform the scheduled service(s) only. Additional re-keys, repairs, installations, etc., unless requested at least 24 hrs. prior to the scheduled call, will require a return trip and corresponding trip charge. Depending on job load, technicians may, at their discretion, perform the requested add-on but, ultimately, it is the integrity of the schedule and our obligation to all customers that must remain our priority.
Labor Warranty
South Side Lock warrants all labor included in the installation of any new product or the performance of any re-key or repair to an existing product for a period of ninety days. This warranty assumes proper use and normal wear and tear conditions. Customer’s sales receipt/invoice acts as his warranty and should be retained for no less than the applicable period in order that it be presented at time of request for return service on an installation or repair.
